Automatically cancel event registrations

In my last post I wrote about one (event) journey to rule them all. This time I’ll add the feature to cancel an event participation. I’m so happy Microsoft has released this feature – it’s been awaited for a long time!

Where to place the link to cancel the event registration is up to you. It depends on the type of event you have. You might want to have more of a manual process if you’re charging for the events. This way is the simple way of doing it, to show how it can be done.

Create a button or text and create a link to “Cancel event registration”. I’ve put this button in the same email as the registration. I choose the event “From other source”. I select the “Marketing event registration created” trigger. Then, I choose the “Marketing Event registration” and the event from that.

I now put the new and changed event email in my normal “for all event journey”.

I want to confirm the cancellation for people. I create a new journey, it triggers on the trigger “Marketing event registration canceled”.

You can do changes to the cancellation form if you need to. You find it by editing the filter on the form and removing the marketing form type filter. This way you will see all the forms and can do changes to them.

Back in the confirmation email, I now also have the button to cancel the registration.

I click the button to cancel the event. Then I’m taken to the cancellation page. I need to confirm the cancellation there.

When I click the button “Cancel event registration” I get a confirmation that the registration is cancelled.

I can now see in the event that I have an event registration with the status reason “canceled”

And I’ve gotten the email that triggered in the cancellation journey.

If I try to cancel a registration that you’ve already cancelled, you’ll get a notification that it’s already been cancelled.

The technical cancellation process works very well. However, be aware that there might be other considerations to take in the process.
