OneNote and AI generated meeting notes – better together

As a long-time OneNote enthusiast, I was thrilled to discover a recent upgrade to my favourite feature: Meeting Details. Meeting details is the power button that I have been using for years, long before Copilot entered the scene. Now, it’s even better.

How does Meeting Details work?

Meeting details is a very handy feature in OneNote that helps you organise and manage your meeting notes efficiently. You create a new page in your Notebook, click Meeting Details button on the Home tab and choose the meeting you want to write your notes about from the right-hand side panel. (If you are doing this for the first time, you need to connect your OneNote to your Outlook, but the panel will guide you through it.)

The Meeting Details button adds the following to your notebook page:

  • Title of the meeting

  • Date & time

  • Link to the Outlook item

  • Original invitation message

  • List of the invited participants with tick boxes and

  • Heading Notes for you to scribble your own notes.

Over the years, this feature has saved me a lot of time and especially helped me afterwards to recall what was the meeting about and who had attended. (Back in the Skype for Business days, the participants’ tick boxes were even automatically checked when the person joined the meeting, but that specific feature vanished along with Skype. And yes, I’m that old.)

What’s new then?

A recent update brings the best of Teams meeting AI features to the Meeting Details button: the AI-powered meeting summary and AI-suggested tasks added right to your OneNote page. Of course, this requires that you have the meeting transcript on in your meeting. AI meeting notes take a lot of the pressure from you to write everything down during the meeting, allowing you to focus on the discussion. It doesn’t remove your responsibility to proofread those generated notes, though ☝🏼

If you create the page before the meeting (as you usually would), there’s no AI-powered meeting summary or AI-suggested tasks available, since they are formed when the transcript is ready. You can add them after the meeting by clicking the Refresh all on page button on the Meeting Details panel on the right-hand side.

AI-generated meeting notes are now automatically added with OneNote Meeting Details button.

About the meeting notes

My experiences with the AI-generated meeting notes is that most of the time the notes are quite accurate, especially if the participants are speaking their native language, but there can occasionally be some misunderstandings by the AI (Very weird mishearings 😄). Of course, you can always go to Stream and edit the transcription, but that takes a lot of time, and you need to be the owner of the meeting or the one who started the transcript.

Although you can read all the meeting recaps through your Teams calendar, there is no possibility to change the AI-generated meeting notes there, in case they are inaccurate. But with OneNote, you can finalise them and make sure that whenever you or your team gets back to the notes, you/they will find the correct information on the notes.

In conclusion, the new AI-powered features in OneNote’s Meeting details button help your notetaking and ensure more accurate meeting notes. Whether you’re a long-time user or new to OneNote, these updates are sure to improve your meeting management experience.
